POSITION SUMMARY: The Finance & Administration Assistant supports the work of the Ridgewood YMCA and YMCA Camp Bernie, nonprofit charitable organizations dedicated to strengthening the community through youth development, healthy living, and social responsibility. Under the direction of the Chief Financial Officer (CFO), the Finance & Administration Assistant ensures the efficient day-to-day operation of the administrative office. This role is responsible for managing office systems, coordinating administrative processes, maintaining accurate records, and providing support to both the Finance and HR Department.

JOB FUNCTION:

  • Perform accounts payable functions and ensure all invoices are payments are accurately recorded.
  • Manage accounts payable schedule.
  • Review POs to ensure the required documentation is attached before it is approved.
  • Make daily cash and check deposits at the bank; perform daily cash, check, and credit card reconciliations; and document and enter journal entries monthly.
  • Assist with monthly budget reports.
  • Ensure accurate records of credit card and expense transactions.
  • Assist in month end close and run requested reports.
  • Maintain account records, contracts, and payments.
  • Maintain confidentiality and compliance with organizational policies and accounting standards.
  • Assist with year-end audits.
  • Manage office supplies, equipment, leases, and other general office needs.
  • Assist CFO with schedule, meetings, and misc. projects.
  • Assist with HR function as needed.
  • Other duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree in business or related fields preferred.
  • 1-year of related experience preferred.
  • Organizational skills is a must.
  • Experience with Oracle Netsuite is a plus.
  • Proficient with Microsoft Office, specifically Excel.
  • Ability to prioritize, multi-task and meet deadlines, while maintaining high degree of accuracy and attention to detail.
  • Fundamental accounting knowledge.
  • Ability to exercise discretion, maintain confidentiality and apply independent judgment.
  • Excellent verbal and written communication skills.
  • Valid NJ Driver’s License, acceptable driving record, and valid NJ Motor Vehicle Insurance.
